Iโm exploring ways to automate accounting workflows between NetSuite and other business applications using Workato.
What are some practical NetSuite workflows that can be automated with Workato, such as syncing financial data, updating records, or reducing manual accounting tasks?
Iโd also like to understand how NetSuite accounting workflows can be structured for better automation.
What NetSuite + Workato automation use cases have worked well for you?
Hi John A. I get where you're coming from in seeking to understand the technical possibilities and what others have done. But rather than answer your (great question) I wanted to go off on what I see as an important tangent picking up on the saying... "For a man with a hammer everything is a nail". Or rather, to an engineer with Workato everything is an integration challenge ๐ Putting it another way... just because something COULD be done, doesn't mean it SHOULD be done. Everything is possible, but usually resources are limited and prioritisation is key and in this business requirements are key. So I'd suggest sitting down with your finance team (especially the button pressers that actually do the tasks each day) and asking them what takes them the most time, is most boring and repetitive and that they think someone should "magic away". Users may or may not have an understanding of the art of the technically possible, but they can certainly tell you what takes time and feel like little value add. These are (at least some of) the requirements of the Business. You can then quantify each scenario they flag (by asking how many people do this task x how often x how much time does it take on each occurence). That gives you the impact and how long it will take for "payback" (i.e. how many days/weeks/months of your solution being in place before the cost of your dev time is recouped). Prioritisation is not necessarily purely done on payback, but it certainly helps. And speaking to those in Finance management may also surface other higher level process inefficiencies and possibly other frustrations (perhaps more to do with data they can't see). Apologies if you know all that already, and for not answering your question directly. I'm sure someone else will be along shortly with a more direct response, but after many years as a Business Analyst and Product Owner (as well as developer) I can't let the opportunity pass to bang the "requirements not technology first" message ๐
RussellJ very well said and even dropped one of my favorite sayings ever. Although i go with the version of "to a hammer everything is a nail" John A. the broad scope of Netsuite can be difficult to wrap your arms around. along with all the things mentioned by Russell I like to try and simplify the integration possibilities by breaking it down to just 2 applications in scope (one being Netsuite). So when talking to your team what are the most common other applications that work with Netsuite processes? then you can begin building the bridge between them. I have included some of our more popular Netsuite Accounting related use cases below. Plus we are seeing large demand for Netsuite MCPs to expose this information to finance users directly in their Agent of choice.
- Journal entry automation โ pull data from a source system (Snowflake, data warehouse) and push JEs into NetSuite on a schedule, replacing manual file handoffs and cutting a 45 min process down to under 20 min for high volume batches
- Invoice automation โ connect a billing or platform tool directly to NetSuite to eliminate manual journal entry creation, then expand into other tool to NetSuite invoice automation
- Order to cash โ CRM to NetSuite integration for creating new records, syncing quotes and orders through to invoicing
- Cross tool data sync โ sync a project or planning tool (like Smartsheet) with NetSuite for financial tracking
- Approval notifications โ push NetSuite journal entry or transaction approvals into Slack or Teams so approvers don't need to log into NetSuite directly
- Large volume AR reconciliation โ for accounts with 10k+ open invoices, use a data pipeline approach (JDBC/SuiteAnalytics Connect) instead of standard API recipes, since NetSuite's REST/SOAP layers hit row and timeout limits at scale
- AP automation โ email inbox to PDF extraction to PO validation to bill creation, fully automated on matched invoices with exception routing for anything that doesn't matchrichy.mulcahy I take it all back. TELL ME ABOUT ALL OF YOUR TECHNICAL GOODNESS!! ๐
