Hello Friends, Happy Thursday! I have below requirement, could you please help? 1. Real time email alert for higher than usual task consumption in a/all workspace(s) (example >= 8k tasks) 2. Real time email alert for very high task consumption, and cancel the running job (example >= 15k tasks) 3. If #1 and #2 are workspace specific (Not at all workspaces level) then how to set #1, #2 as a default setting for all new workspaces. Thanks
Hi vishaln, I created a similar solution that emails daily task counts directly to us—it’s less friction than checking Workato Insights. The same email includes:
A list of recipes that consumed more than a predefined threshold since yesterday (configurable)
Calculated lifetime task/job ratios to estimate task usage per recipe
This helps us spot recipes consuming unexpectedly high task counts and decide if they need optimization or review. It runs on a schedule. Two Approaches for Your Use Case Option 1: If using the User Endpoint
Call workato.com/api/users/me to get total consumed and remaining task count
Run this at regular intervals
Save the previous count and calculate the increase
Trigger an email alert when the task count exceeds 8k
Option 2: If the API doesn’t return task counts (credit-based plans)
Use Python to sum lifetime_task_count across all recipes
Run the query again at your next interval
Compare the totals and send an alert if the threshold is exceeded
For High-Consumption Recipe Monitoring Since you have many recipes and jobs, identify the top 10–20 high-consumption recipes, then:
Use Python to get their real-time usage
Trigger an email alert if any of these recipes show unusually high task consumption
These aren’t perfect solutions, I know—but I’d love to hear what solution works best for you. This is something I’d want in our workspace toohave in our workspace.
Hi, you can use the RecipeOps connector to monitor task consumption per recipe and configure a scheduled check to send email alerts and stop recipes when a defined threshold is exceeded. However, the documented example runs every 120 minutes, so it is not real-time monitoring. Automation HQ also provides cross-workspace task usage visibility. I couldn't find official documentation confirming that custom alert thresholds can be configured globally or automatically inherited by new workspaces. References: - [Task counters and RecipeOps](https://docs.workato.com/en/recipes/tasks-counters.html) - [Automation HQ usage](https://docs.workato.com/en/ahq-usage.html) For organization-wide real-time alerts and default settings for new workspaces, I'd recommend confirming the available options with Workato Support.
Thank you so much dheeraj k., francesco.baviello for your suggestions! I will go through them and come back soon.
dheeraj k. Will the User/Recipe API return the real time task consumption for running recipe/function? or after completion of recipe/function? Here need is more on real time task consumption. Meanwhile, my team is going to try out your solution. Thanks!
Hi vishaln, sadly the count updates only after the job finishes. I think Workato’s own task count collection waits for job completion too.
you can check with workato support if they provide any api or tool for the realtime task updates.
Sure, thanks dheeraj k.
